AI Knowledge Agent

Connect your website, PDFs, and spreadsheets to get answers in seconds.

Your answers are already there. Make them easier to find. Put the agent on your site for support and lead capture, or lock it behind a password for internal SOPs.

Your content, connected

What is a Robofy Knowledge Agent?

It is an AI assistant that works from the information you choose to connect.

Add live website pages, PDFs, Word documents, spreadsheets, Markdown files, or short notes from the dashboard. Robofy uses those selected sources when it answers, so you decide what belongs in the knowledge base and what stays out.

You control the behavior too. Use the system prompt to define the role, response style, and topic boundaries. Review conversations, add project guardrails, and connect live APIs when an answer depends on current business data rather than a static document.

Universal Source Ingestion

Crawl root domains, submit XML sitemaps, or upload PDF, DOCX, and XLSX files.

Prompt & Guardrail Control

Write the agent's role and rules, restore an earlier prompt version, and set boundaries that every agent in the project follows.

Live Actions & API Tools

Connect HTTPS endpoints, query Stripe invoices, or connect MCP Server tools when an answer needs live business data.

Tailored Access Control

One knowledge base. Two very different jobs.

A prospect asking about pricing needs a different experience from an employee looking for an HR policy. Start by deciding who the agent is for, then give that audience the right access.

Public website assistant

Help the person on your website.

Put the agent on your homepage, pricing page, product pages, or documentation hub. A visitor can ask about plans, returns, integrations, or setup without opening five tabs and hunting for the right paragraph.

When someone looks like a strong lead, collect their details and pass useful context to your sales team.

Best for Customer support, inbound lead qualification, and product guidance.

Password-protected knowledge base

Give your team a place to ask.

Employees, contractors, partners, or clients can ask a question instead of searching through shared drives, old documents, and long message threads.

Fewer “Can you send me that SOP again?” messages. Less time figuring out which version of a document is the right one.

Best for Employee onboarding, internal SOPs, partner documentation, and client knowledge hubs.
Shared password access for non-public material
From setup to launch

Go from scattered content to a working agent in six steps.

Choose who it’s for, connect what it needs, then test the questions people will ask.

Create your Knowledge Agent
  1. 1

    Pick your access mode

Go to AI Agents → Add AI Agent and choose where this agent belongs: on your public website or behind a password for your team.

  2. 2

    Add your website content

Paste your root domain, upload an XML sitemap, or select specific URLs. Set the maximum URL count and crawl depth, then add include or exclude path rules to control which pages are considered.

  3. 3

    Choose the primary goal

For public agents, choose Customer Support, Lead Generation, or both. If you enable lead capture, set the outcome and add your own qualification questions.

  4. 4

    Upload your documents

Add PDFs, spreadsheets, manuals, and other supported files to the File Manager, then link the right files to the agent. For a quick update or temporary notice, paste the text directly instead.

  5. 5

    Set the instructions and guardrails

Open Quick Setup → AI Settings and tell the agent how to behave. Define its role, response style, boundaries, and what it should do when a question falls outside its scope. Robofy saves earlier prompt versions so you can preview and copy them. Add project guardrails for rules that every agent in the project must follow.

  6. 6

    Test, challenge, and launch

Try the questions real users are likely to ask, especially the awkward ones. After launch, review conversations from the widget, WhatsApp, or voice channels. If an answer misses the mark, update the source or prompt and test it again.

Universal Ingestion
Domain, sitemap, or selected URLs

Website crawling

Add your domain, submit a sitemap, or choose individual URLs. Track page sizes, processing status, and crawl timestamps. When pricing or terms change, recrawl the selected page instead of starting over.

PDF, DOCX, XLSX, TXT, and more

Multi-format document uploads

Upload PDF, DOC/DOCX, XLS/XLSX, TXT, HTML, Markdown, and JSON files. Organize files and connect each agent only to the documents it needs.

Edit or remove anytime

Direct text snippets

Paste a holiday shipping notice, temporary policy change, or updated team phone list directly into the agent. Edit or delete the text when it changes.

Beyond Static Files

When the answer depends on live data, go get it.

A PDF can explain your return policy. It cannot tell a customer where today’s order is or which subscription tier they are on. AI Actions request current information from systems you connect.

HTTPS APIs

Function Tool Call

Connect HTTPS endpoints, define which inputs the agent must collect, configure the request, and test it in the builder.

Read the tool call docs
Billing & Subs

Stripe

Find a customer, list or check subscriptions, list plans, and retrieve invoices when the conversation calls for it.

Model Context Protocol

MCP Server

Connect a Model Context Protocol server so the agent can use the tools it exposes across your internal infrastructure.

Example live actions:
  • Look up order status
  • Check warehouse availability
  • Create a support ticket
  • Submit a booking request
  • Retrieve subscription details

Frequently Asked Questions

Setting up your sources, access, and integrations.

How does a Robofy Knowledge Agent work?

Robofy uses the content you connect, including webpages, PDFs, spreadsheets, and other selected sources. When someone asks a question, the agent finds relevant information in those sources and uses your prompt and project rules to shape the response.

Can I point it at my website and launch right away?

Yes. Paste your website URL and Robofy can crawl the site. You can also choose specific pages, submit a sitemap, and set crawl depth or include and exclude paths. Test common and difficult questions before publishing the agent.

What types of documents can I upload?

Robofy accepts PDF, DOC/DOCX, XLS/XLSX, TXT, Markdown, HTML, and JSON files. You can also paste text directly into the agent for quick updates or temporary notices.

Can a single agent use my site and uploaded documents?

Yes. Public website agents can use crawled URLs, linked File Manager documents, and direct text at the same time. For a private agent, choose Hybrid (Website + Files) during setup.

What is the difference between a public agent and a private knowledge base?

A public agent is designed for customer-facing use and can be added to your website. A private knowledge base uses password-protected access for employees, partners, or clients who need non-public material.

Can the same agent handle support and capture sales leads?

Yes. During setup, select Customer Support, Lead Generation, or both. Lead Generation lets you choose the outcome and ask your own qualification questions.

Can I connect the agent to an internal API or CRM API?

Yes. Function Tool Call lets you add custom HTTPS API tools to an agent. The agent can collect the required inputs, call the configured endpoint when its instructions match the request, and use the returned result in the conversation.

Does connecting my content guarantee every answer will be correct?

No. Current, focused sources and clear instructions can improve the answers, but generative systems can still make mistakes. Test the agent, review conversations, and correct the source or instructions when you find a gap.

Give people one place to ask.

Connect your website and documents, set the rules, and make the answers your team already has easier for customers and employees to find.
