Picture a dealership’s website at ten on a Tuesday night. Someone is asking whether the blue one is still in stock. Nobody is there to answer. By morning, that shopper may well have messaged other dealers.
That gap is the offer. An AI agent on the dealership’s website and WhatsApp answers the first questions, takes the shopper’s details and passes the lead to the sales or service team. As an agency you build it, brand it and bill for it every month.
Robofy makes the platform used in the examples and publishes this guide. Test each step with a real client before you promise it.
Ask the dealership for its own numbers
We do not quote figures for lost leads or response times, because they differ a lot between dealerships. Ask your client two questions instead. How many enquiries arrive when the showroom is closed? How long does a reply take on a busy Saturday? Their answers are your sales pitch, and they are also the baseline for your first monthly report.
The agents to offer
Offer a few agents with one job each, not one agent that does everything. Robofy’s automotive chatbot page shows the idea, and the test drive booking chatbot and luxury car lead generation chatbot are two examples. Each agent you deploy is built from your client’s own website and content, so treat those pages as examples and not as ready-made products.
The sales enquiry agent is the one to start with. It answers vehicle questions from the client’s pages, asks which model, budget and timeframe the shopper has in mind, and saves the lead for the team. The test drive agent collects the model, a preferred day and contact details. The service agent takes the vehicle, the problem and a preferred time, and answers the usual service questions.
We would hold back the finance and warranty agent until the first three are working. It must answer only from wording the dealership has approved, and getting that approval can take longer than building the agent.
Here is the catch with booking. An agent can write straight into a calendar or dealer system only if that system has an API. Robofy supports API actions, but we do not list integrations with specific dealer-management systems, and you should not promise one. Until a connection is tested, the agent collects the request and the dealership’s team confirms it.
What to train it on
Whatever the dealership already uses to answer customers: model and trim pages, used-car pages, opening hours for sales and for service, the address, the service menu with prices where they are published, and the wording it has approved for finance, trade-in and warranty. Add a list of what the agent must not answer, such as a firm price on a particular car or whether a finance application will be approved.
Stock changes daily. Agree who updates the agent when it does, and write that into the monthly package.
Channels
Start with the website chat, because that is where shoppers already are. Add WhatsApp for follow-up once the chat is working. WhatsApp integration and setup help come with every Robofy plan. Meta charges for WhatsApp messaging separately, which the dealership should hear before launch and not on its first invoice.
Setting it up
- Interview the client. Who answers enquiries today, how many arrive after hours, which questions repeat?
- Collect the content listed above.
- Create the client’s workspace in your reseller panel, with your branding.
- Build the sales and service agents, and write the rules for when they must hand over.
- Decide who receives leads and how fast the team replies. How human handoff works lists the options.
- Test with ten real questions that the dealership’s staff say customers ask most.
- Go live, then read the conversations after two weeks and fix the gaps.
Write down your hours on the first dealership. The second quote will be better for it.
What to charge
Quote against the workload: how much content there is, how often stock and prices change, how many agents, and what the handover rules look like. The pricing guide shows how to build a quote and has margin tables for a reseller plan. Its packages are planning examples, not market prices.
A group with several branches needs more review time, so price it as a bigger package. Settle the overage rule and who pays Meta’s WhatsApp charges before you sign.
The monthly report
Keep it short. Conversations by channel, leads captured, test drive and service requests waiting for confirmation, handovers to staff and why, and a list of the content changes you made for new stock, offers or hours. Confirmed sales and bookings live in the dealership’s own records, so do not present every enquiry as a sale. They will notice.
Objections you will hear
“Customers want a person.” The agent hands over to the dealership’s team when a person is needed, and you choose the triggers.
“It will quote the wrong price.” Train it on approved wording only, tell it what not to answer, and read the conversations closely in the first weeks.
“We already have a contact form.” A form waits for the shopper to fill it in. The agent answers the question first and asks for details in the same conversation.
“Our system will not connect.” Then start with lead capture and handover, and add API actions only if the system supports them.
Frequently asked questions
Will customers know they are talking to AI?
You decide how the agent introduces itself. Many businesses call it a virtual assistant and offer a way to reach a person. Check any disclosure rules in your client’s market.
Can it take bookings directly?
It can collect the details for a test drive or a service request. Booking straight into the dealership’s calendar needs an API from the dealership’s system, so test that first.
What happens with questions it cannot answer?
You set when the agent hands over to a person, for example when it has no content on the question. The team receives the customer’s details and a summary of the conversation.
How long does setup take for one client?
It depends on how much content the dealership has and which integrations you add. Record your hours on the first project and use them to quote the next.
