How white label chatbot pricing works
A flat platform fee covers access to the software. A per-client fee grows as you onboard businesses. Per-agent charges grow when a client needs a second bot, and per-seat charges grow when more people need account access. Usage charges cover replies, queries, tokens, or call minutes.
These charges can overlap. An agency with 10 clients might pay one subscription, nine extra-agent fees, a branding add-on, and message overages. Another platform may include those client accounts but meter AI usage separately.
Request a quote with separate lines for platform access, branding, client capacity, team access, included usage, and overages. Also ask whether each client gets a separate login and whether your contract allows resale. An agent allowance alone does not establish either.

Costs at 10 and 25 clients
Our planning scenario gives each client one website agent and 1,000 AI replies per month: 10,000 replies for 10 clients, or 25,000 for 25 clients. No WhatsApp or voice usage is included.
For query-based tariffs, the calculation assumes one billable query per requested reply. Credits and tokens have their own conversion rules. These estimates compare capacity and billing mechanics; they do not establish equal models, answer quality, or functionality.
The figures exclude training, testing, implementation work, optional integrations, payment fees, and tax. A subtotal followed by “plus usage” is incomplete until the provider prices the workload.

How the calculations work
Stammer’s five included chat agents leave five additional agents at 10 clients. Its platform subtotal is $99 + (5 × $10) = $149. At 25 clients, $99 + (20 × $10) = $299. Get the model and reply-volume charge before treating either as a monthly budget.
CustomGPT Premium includes 5,000 queries. At 10 clients, the assumed 10,000 queries require two additional 2,500-query packs: $499 + (2 × $375) = $1,249. At 25 clients, eight packs cover the extra 20,000 queries: $499 + (8 × $375) = $3,499. These are branded-agent calculations, subject to the access and contract checks in the table.
GoHighLevel’s selected subscription route is $297 + (10 × $50) = $797, or $297 + (25 × $50) = $1,547. The AI pricing documentation, checked 5 October 2026, defines the included response allowance. Pay-per-use tokens are an alternative that may cost less for light workloads. Agency Pro adds $200/month to these selected configurations if you need its SaaS automation.
BotSailor’s minimum 20 billable Member accounts produces a $45 account charge even at 10 active accounts. At 25, the account charge is 25 × $2.25 = $56.25. Subscriber charges apply above its 500,000 free tier; AI tokens need a separate budget.
Robofy’s assumed usage is 10,000 × 60 = 600,000 credits or 25,000 × 60 = 1,500,000 credits. Both fit their selected plans before other credit-consuming work. Annual fees divided by 12 produce the equivalents shown; you still pay the annual fee upfront.
WhatsApp and voice costs
Price each channel separately before adding it to a client package. Ask for AI usage, channel access, phone-number rental, telephony, and any Meta charges as separate lines. A published voice allowance does not establish that every cost of a phone call is included.

Other costs to put in your budget
Training can consume the same credits as live chat. A client who replaces a large document library every week may use more allowance than one with a short, stable FAQ. Check file limits, storage, retraining charges, and whether failed requests or test conversations count.
Client access can add costs too. Count the people who need to edit agents, review conversations, or manage billing. Ask whether seats belong to your agency, each client, or the whole account. Check the price of additional domains and branded email or invoices if those are part of your offer.

Robofy’s annual reseller plans combine client capacity with a shared credit pool for website chat, WhatsApp, voice and training. The selected 10-client scenario costs about $6.66 per client per month in platform fees; at 25 clients it is about $4.00. Those amounts exclude your delivery costs and external channel bills.
At 25 clients, the assumed text workload leaves 100,000 Enterprise credits for other activity. Voice or frequent retraining can exceed that balance. A $20 top-up adds 200,000 non-expiring credits. Set a usage budget before promising a client a fixed monthly package.
